Search "clinic appointment booking system" and you will find per-provider subscriptions that cost more than a receptionist's afternoon every month. For a single clinic or a small group, a booking system on the clinic's own website does the same work once. This is the shape we build for physios, GPs, specialists and allied health.
The problems
- Phone tag: the patient calls at lunch, the clinic calls back at 4, the patient is at work.
- No-shows with no reminder system.
- Practitioners with different hours and session lengths managed in someone's head.
- New-patient forms filled on a clipboard and typed up later.
- Follow-up appointments never booked because nobody prompted them.
What the booking system should do
- Practitioner calendars: hours, session lengths per service (initial 45 min, follow-up 30), buffers, leave.
- Booking form that shows only real availability, lets the patient pick a practitioner or "first available", and asks what the visit is for.
- Confirmations and reminders from the clinic's own email, with reschedule and cancel links; SMS where consent is given.
- Intake forms completed before the visit, stored on the clinic's own hosting.
- Follow-up prompts: after an initial consult, a message suggesting the next appointment.
- Day view per practitioner, status (booked, arrived, done, no-show), and CSV export.
- Audit trail and named staff logins.
Privacy
Health details are sensitive data everywhere. Keep them on your own hosting, limit the panel to named logins, never let a tracking pixel see the booking flow, and say what you collect in your privacy notice. The clinic-specific detail is in our clinic admin panel guide.
What it costs
Our Booking Panel ($500) adds all of the above to the website you already have — booking form, inbox, confirmations, reminders, rules, calendar, export — in about a week, on your own hosting, with no monthly fee and no per-booking commission. Most clinics fill the gaps in the first week from patients who could not call during the day. If you later need staff calendars, deposits or a client portal, it grows into a full admin panel. Compare it with what a subscription costs you over a year in build vs subscribe, or ask for a free demo with your own branding.
