Clinics, dentists, physios and aesthetic practices share a booking problem with restaurants — requests arriving by email and phone — plus two of their own: patient details are sensitive, and a missed appointment costs a full consultation fee. A small custom appointment panel solves both without the per-booking fees of the big scheduling platforms. Here is the shape of one, drawn from the panels we build under admin panels.
The problems
- Phone-only booking means patients who could not call during the day book with the practice that let them book at 10pm.
- No-shows without reminders run 10–20% in most practices we see.
- Reception retypes the same name, phone and reason from an email into the practice system.
- Generic form plugins email health details to a Gmail inbox — a privacy problem in every country (HIPAA in the US, UK GDPR, the Privacy Act in Australia and New Zealand).
- The website is static: new services, prices, a new practitioner — all wait for a developer.
The solution
- Online booking with real availability per practitioner and service, minimum notice, buffer times.
- Appointment inbox with confirm / reschedule / cancel and automatic emails from the practice's own mailbox.
- Reminders at 48 hours and 2 hours; a reply-to-cancel link that frees the slot.
- Intake forms that collect only what is needed, stored on the practice's own hosting with access limited to logged-in staff, with a privacy notice that says so.
- Practitioners, services and prices editable in the panel; the website updates itself.
- Audit trail: who confirmed, changed or cancelled what, when — the thing every practice wishes it had after a dispute.
- Export to the practice management system or CSV.
Compliance, briefly
Keep data on the practice's own hosting or a contractually covered provider, use HTTPS everywhere, restrict the panel to named logins with a lockout after failed attempts, never put patient details in a tracking pixel, and write the privacy notice for what the panel actually does. If you are in the US, the vendor handling appointment data needs a BAA. Our country guides cover the detail: USA, UK, Australia.
Cost
An appointment panel added to an existing practice website is a fixed-scope build, usually three to four weeks including the intake and reminder logic, with no monthly fee afterwards. Price it with the cost calculator or start with a free demo.
