Every service business owes its clients a periodic account of what was done and what it produced. Agencies owe it monthly; contractors, consultants and property managers owe versions of the same thing. Built by hand it is late, inconsistent between team members and quietly resented. Automated, it becomes the most reassuring thing a client receives from you. This is how our own client portal does it, and how we build it for others.
The problem
- Numbers copied from four dashboards into a slide deck, differently each month.
- Work done is forgotten by the time the report is written.
- Clients ask "what did you do this month?" — the question a report exists to prevent.
- When something goes wrong (a client changes their own ad account), there is no record of who changed what.
The solution
- Connected sources: Google Ads, Meta Ads, Facebook and Instagram pages, and your own work log, pulled automatically each day.
- Work log by default: every post published, every campaign change, every task marked done is recorded as it happens, so the "what we did" section writes itself.
- Change feed: every change in the client's ad accounts, attributed to the login that made it — including the client's own — with a printable change-history report for the awkward conversations.
- The report: a branded page and PDF on your letterhead — summary in plain words, spend and results, social growth, work delivered with links — generated for any date range in one click, emailed from your own address.
- Client portal: the client logs in and sees their own numbers, calendar and content any day, which ends the "can you send me…" emails.
- Scheduled: the monthly report goes out on the same day every month without anyone remembering.
What makes a report trusted
Plain language before numbers ("No advertising ran this period. Our team delivered 2 pieces of work."), figures that come straight from the platforms with the dates shown, and a note on how the client can verify them independently. A report that hides a bad month is discovered; a report that states it is trusted next month.
Beyond agencies
The same panel reports for property managers (rent collected, maintenance done, inspections), maintenance contractors (jobs completed per site), and consultants (hours, deliverables, outcomes). The sources change; the structure does not.
This is the largest kind of admin panel we build — a multi-user portal with roles — usually six to ten weeks, delivered in stages. Estimate the return with the marketing ROI calculator, or ask to see our own portal in a free demo.
